The complete wedding signage checklist.

A wedding's signage isn't a single order — it's a rolling set of small prints and two or three "workhorse" pieces that photographs will circle back to for the rest of your life. The mistake we see most is ordering signs one at a time as decisions get made. Every setup fee stacks. Ordering the whole batch together — even in two waves — meaningfully cuts your per-piece cost.

Arrival

• Welcome sign · 24×36 in · Foamboard

  The workhorse. First thing guests see. Names, date, and one line of direction.

• Directional / parking signs · 18×24 in · Coroplast with H-stakes (outdoor)

  Arrows and one word. Get them big — people are reading from a moving car.

  Position at the aisle entrance, not the seating area.

Ceremony

  Small and specific. Family names or 'Reserved'.

Cocktail hour

  Vertical layout. Bartenders will thank you.

  Two drinks, cute names, one-line descriptions. Sits on the bar itself.

  Points guests to whatever guest-book setup you're doing.

Reception

• Seating chart · 24×36 up to 36×48 in · Foamboard, or mounted

  The second workhorse. Size by guest count — see the sizing table below.

• Table numbers · 5×7 in tent cards · Foamboard tent cards

  Double-sided. Visible from across the room. Ordered as a set.

• Dance floor wrap · Sized to floor plan (12×12 to 30×30 ft typical) · Removable slip-rated vinyl

  The centerpiece — everyone photographs it. Custom pattern, monogram, or full illustration.

• Card / gifts sign · 8×10 or 11×14 in · Foamboard tabletop card

  One word does the job.

Seating chart size by guest count

This is the sign where "just a little bigger" saves the day. If guests can't read their table from three feet back, you get a crowd of six people leaning in and a logjam at the reception entrance. Rough sizing table:

• · Under 75 guests: 24×36 foamboard on a stand.
• · 75–150 guests: 30×40 foamboard on a stand.
• · 150–225 guests: 36×48, or two 24×36 boards split A–M / N–Z.
• · 225+ guests: two 30×40 boards, or a single 40×60 mounted with a stand.

Text on a seating chart should be at least 24pt for names, 32pt+ for table headers. If your designer sends a proof that looks tight, upsize the board before you approve.

Where to spend, where to skip

Guests notice — and photograph — three signs above all others: the welcome sign, the seating chart, and the dance floor. Those three carry your visual brand for the event and they earn the budget. Spend on quality material, invest in a designer if you're not doing it yourself, and don't undersize them.

The other signs — bar menu, favors, hashtag, restroom, unplugged ceremony — are functional. They matter for the event to run smoothly, but nobody frames the favors sign. Standard sizes, standard foamboard, ordered in the same batch.

Real cost saver: order everything together. Printing one 8×10 alone costs almost the same as printing five 8×10s, because most of the cost is setup — the printer still has to spin up, the operator still has to load the media. Bundling ten signs in one order routinely lands the per-sign price 30–50% below one-at-a-time. The signs we print (and the ones we don't)

We print every foamboard and coroplast sign on this list, plus the dance floor wrap. The main things we don't print for weddings: acrylic and mirror signs (a great fit for calligraphy studios and DIY finishers, not our shop), fabric printed signage, and paper-based place cards / menus (a local stationer is a better fit).

A realistic order timeline

Book the dance floor wrap 6–8 weeks out — floor-plan measurements need to be locked. Everything else can be ordered in a single batch 3–4 weeks out once names, tables, and seating are confirmed. If your event date is inside three weeks, order earlier rather than waiting for perfect information — we can hold a proof, but we can't hold a production slot.
